This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and client portal (collectively, the "Service"). By accessing or using the Service, you agree to the terms of this Privacy Policy.

We may collect the following categories of information:

• Account Information: Name, email address, organization name, and role when you create an account or are invited to the client portal. Authentication is handled by our identity provider, Clerk.
• Financial Data: QuickBooks Online data synced through our integration partner, Fivetran, including profit & loss statements, cash flow data, accounts receivable/payable, and general ledger entries. This data is used to power your dashboard and reports.
• Contact Information: Name, email, company name, and message content submitted through our contact form.
• Uploaded Files: Documents you upload to the portal, including files attached to forms or messages.
• Messages: Content of messages exchanged between you and our team through the in-app messaging feature.
• Form Responses: Data you provide when completing forms sent to you through the portal.
• Usage Data: Browser type, pages visited, and general interaction data collected automatically.

• Provide, maintain, and improve the Service
• Display financial dashboards, reports, and analytics from your connected QuickBooks Online account
• Facilitate communication between you and our team via messaging
• Process and respond to contact form submissions
• Send transactional emails related to your account
• Comply with legal and regulatory obligations

We may use artificial intelligence tools (including Anthropic's Claude and QuickBooks AI tools) to assist with financial data analysis, reporting, and bookkeeping tasks. Your financial data may be processed by these AI services. All AI-generated analysis is reviewed by our professional staff before being delivered to you. AI service providers are contractually prohibited from using your data for model training.

We use the following third-party services to operate the platform. Each has its own privacy policy governing data handling:

• Clerk — Authentication and user/organization management
• Supabase — Database hosting and file storage
• Fivetran — Automated data sync from QuickBooks Online
• Anthropic — AI-assisted analysis and reporting
• Resend — Transactional email delivery
• Vercel — Website hosting

We implement industry-standard security measures to protect your data, including encrypted connections (HTTPS/TLS), row-level security policies on our database, role-based access controls, and secure authentication through Clerk. All third-party service providers used by BookTru are SOC 2 Type II compliant. While no method of transmission over the Internet is 100% secure, we strive to use commercially acceptable means to protect your personal information.

We retain your personal information for as long as your account is active or as needed to provide you with the Service. Financial data synced from QuickBooks Online is retained for the duration of your engagement with us. You may request deletion of your data by contacting us directly.

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to or restrict certain processing
• Data portability
